What kind of data does Only Once currently store? Public, consumer or personal data?

In our first release, with the name MVP, we are primarily storing non-sensitive, business-oriented data that is publicly accessible. In future releases, we plan to expand our capabilities to store a wider range of data types, while also increasing our security measures and associated costs to ensure appropriate protection of sensitive data. What is Public data and when is data considered to be public?

Public data refers to any information or data that is accessible to the general public without restrictions or limitations. It can include data that is openly published or available through public records, government databases, scientific research, or public websites, Linkedin, social media or just Google search. Data is considered public when it is not subject to any legal, ethical, or technical restrictions on access, use, or dissemination. In general, public data is information that is not confidential, private or sensitive in nature, and does not require any special clearance or permission to access or use. Examples of public data include VAT, Chamber of Commerce, company address, availability, your name and probably your business email address depending on what the data owner has published on the internet. However, it's important to note that some data may be considered public in one context but not in another, depending on the laws, regulations, and policies that govern access and use.

What is Business data?

Business data refers to any information that is generated or collected by a business as part of its operations. This data can be in various forms, such as numbers, text, or images, and can be stored in various business applications like CRM’s, ERP’s, Office365 etc.

Only Once focusses purely on legal entity data like Company email, VAT, Chamber of Commerce number, phone, address, bank accounts, invoice addresses, etc. Our type of Business data will be used by our client to communicate, sign contracts, send invoices, onsite visits, etc. In general, business data is far less sensitive then consumer and personal data, since most of the business data is considered public data.

Public data is data that is publicly available, business data refers to the specific information of the business itself and personal data is data on which a natural person can be identified.

What is Consumer data?

Consumer data refers to any information that is collected about individuals or households, typically for marketing or business purposes such as consumer suppliers (dentist, car dealer, doctor, insurance).  This data can include a wide variety of information, on our case primarily name, address, contact information, data/place of birth, legal information (copy id, etc), bank account/invoicing information and personal preferences. Suppliers use Only Once type of consumer data to gain insights into their target market, develop marketing strategies, keep in touch, send invoices, etc.  It is important to note that consumer data can also raise privacy concerns, as it may include sensitive information such as personal contacts or financial information. As a result, there are various regulations in place to protect consumer data, such as the General Data Protection Regulation (GDPR) in the European Union and the California Consumer Privacy Act (CCPA) in the United States.

What is Personal data?

Personal data refers to any information that can be used to identify an individual, either on its own or in combination with other information. This includes information such as name, date of birth, address, phone number, email address, identification numbers, photographs, medical information, financial information, work related information such as resume and availability and other details that are specific to an individual. Personal data is often collected, processed, and stored by family members, friends, fools, companies, organizations and governments, and is subject to data protection laws and regulations designed to protect the privacy and rights of individuals. Only Once stores Personal Data.

What is the difference between data and information?

Data: Data refers to raw, unprocessed facts, figures, or symbols that represent various attributes, observations, or measurements. Data is often in the form of numbers, text, images, or any other type of input. It lacks context or meaning on its own and requires interpretation or processing to become useful. For example, a list of numbers (e.g., 1, 5, 2, 7) is data.

Information: Information is the result of processing or organizing data to derive meaning, relevance, or significance. It represents knowledge or understanding gained from data through analysis, interpretation, or synthesis. Information provides context, structure, and value to data, enabling it to be useful for decision-making or understanding a specific subject. Using the previous example, if we analyze the list of numbers and conclude that it represents the sales figures for a particular product over a week, that insight becomes information.

Only Once focussed on data and not information

Only Once can process a significant amount of data. Which of this data can be marked as public, business and personal?

To answer this question, we refer to the page data stores where we give an overview of the type of data we process. We make a distinction between public, business and personal data.

One of the agencies does not comply with the rules that are based on the current privacy laws like the right to be forgotten. What are the consequences?

The agency has its solely obligation to comply with the current privacy laws. However, Only Once does not have control over the privacy compliance of the agencies. We insist that you contact the agency or otherwise file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). In case a right to be forgotten request has been made, Only Once will do everything within its power to execute this request.

What does Only Once do with my address book and is it stored on the Only Once servers? Will the contacts be uploaded to the server? 

Only Once does not store your phone address book on its servers. We only save information about the connections of the existing Only Once users.
